Managing your business finances becomes easier when you connect your bank accounts directly to QuickBooks Desktop using Bank Feeds. This powerful feature lets you automatically download bank and credit card transactions, saving time and reducing manual data entry. Depending on your bank, you can connect your account via Direct Connect or Web Connect, both of which offer a smooth, secure way to keep your records up to date. In this guide, you’ll learn how to set up QuickBooks Bank Feeds and seamlessly link them for more efficient financial management..

Learn How to Set Up QuickBooks Bank Feeds in QB Desktop

Set up or connect QuickBooks Bank Feeds in QuickBooks Desktop using the Direct Connect method or Web Connect with detailed steps mentioned below:

Connect with Direct Connect

For a Direct Connect, you will need a PIN or password from your bank to use this method. Once the connection is set up, you can easily download the electronic statements to your Bank feeds. QuickBooks will automatically set up a Bank Feeds account when downloading transactions for the first time.

Before you start, check with your bank about any fees or whether the service is free.

Bank-provided credentials

Your bank will provide the Customer ID and password (or PIN) for the online banking setup.

You may also require the following:

  • Account Number: An Account Number is assigned by your Financial Institution to your account when it is created. It appears on your banking statements. If you can’t find it, contact your FI.
  • Routing Number: FIs have a 9-digit routing number. You will see it on the account’s check. If you can’t find it, contact your FI.
  • Account type: You must know how your financial institution classifies your account, not how QuickBooks does.

  • Go to Banking
  • Select Bank Feeds, then Set up Bank Feeds for an account.
  • In the Enter your Bank’s name field, type the bank name and select your bank.

If you are enrolling for the first time in your bank’s feed, select the Enrollment Site link. You may also need to apply for Direct Connect. For your bank’s approval, contact them to ask whether you need any additional or special sign-in credentials.

After enrollment:

  • Click Continue
  • Type the Online Banking user ID and Password
  • Select Connect to connect QuickBooks to the bank’s server.
  • Choose the bank account you wish to connect to your account in QuickBooks.
  • Once the connection finishes, select Finish

Connect with Web Connect (.QBO) files

If your bank doesn’t support direct connect, you can download a .QBO file with your company’s transactions from your bank or credit card. Then, import this file into QuickBooks to add the transactions to your accounts.

If your bank offers Web Connect:

  • Go to Banking.
  • Choose Bank Feeds, then Import Web Connect Files.
  • Select the .QBO file you just saved and click Open
  • When you are asked to choose the bank account:
    • Use a QuickBooks account that exists if the account you’re importing transactions into is already set up in QuickBooks.
    • If the account you are importing transactions into isn’t in QuickBooks, create a new one.
  • Select Continue. A dialog box will appear indicating that the data has been successfully imported into QuickBooks. Then, click OK.
  • Return to the Bank Feeds Center to review all transactions.

Change from Web Connect to Direct Connect or Direct Connect to Web Connect

If you want to change the way you connect your bank feed with QuickBooks, you will have to disconnect your Bank Feeds. Once done, you can set up the bank feeds again.

Edit Bank Feed settings for bank or credit card accounts

You can also change the login and other information for the bank account you use with QuickBooks Desktop. To do so, turn off the Bank Feeds to make the required changes, then set them up again.

  • First, disconnect the Bank Feeds for your account.
  • Make the required changes.
