If your employer has changed, you can update it in Payroll. Proceed to the section below and learn how to change the company name in QuickBooks Desktop and QuickBooks Online carefully: 

QuickBooks Online Payroll Core

If it’s only the successor entity change, contact Intuit, so they can update the EIN in from their end. 

For a non-successor entity change, you must set up a new payroll account. 

QuickBooks Online Payroll Premium, QuickBooks Online Payroll Elite

The steps to change EIN in QuickBooks Online Payroll Premium and QuickBooks Online Payroll Elite depend on whether you have automatic tax payments and filings turned on or off. 

If you aren’t sure, check the automatic tax payments and form filing status.  

If you have automatic tax payments and filings turned on

  • Download, fill the form, and sign the Entity change packet
  • Now, prepare all the supporting documents listed in the above packet. 
  • Email the completed packet along with all the supporting documents to EntityChanges@intuit.com.
  • Update any additional info, such as your company DBA address in Settings or your payroll contacts.

You will receive an email within 3–5 business days confirming that we have obtained your entity change packet along with its supporting documents.

If automatic tax payments and filings are off:

a. Update your company’s legal name

  • Go to Settings at the top. 
  • Choose Payroll settings

  • Update your company’s legal name
  • Finally, click Save, then Done.

b. Update your Federal EIN

  • Go to Settings
  • Click on Payroll settings.
  • Select Edit in Federal tax.
  • Update your Employer Identification Number (EIN).
  • Finally, click Save and then Done

QuickBooks Desktop Payroll Assisted

a. Update your company legal name

  • Get the Assisted Legal Name Change form from Intuit.
  • Enter all the required information and finish this form with your signature and the date, then print it. 

Note: If you also want to change your Account name in Intuit, mark the checkbox under the new fax number field.

Intuit will automatically update your company name the next time you process payroll in QuickBooks Desktop Payroll

b. Update your Federal EIN

  • Download the form, fill it out, and make sure to sign the Entity change packet.  
  • Prepare all the support documents that are listed in the packet. 
  • Once done, send it to EntityChanges@intuit.com with supporting documents. 

You’ll get an email within 3–5 business days confirming we’ve received your entity change packet and accompanying documents.

QuickBooks Desktop Payroll Basic, QuickBooks Desktop Payroll Standard, and QuickBooks Desktop Payroll Enhanced

a. Update your company legal name

  • Go to Company and select My Company
  • Click Edit and then Legal information
  • Type your new legal business name. 
  • Finally, click OK

b. Update your Federal EIN

If you succeed in changing EIN, contact Intuit so they can also update the EIN from their end. 

  • Go to Company at the top. 
  • Select My Company
