  • Choose QuickBooks from the top right corner of QuickBooks Time. 
  • From the options, select Export All Approved Time.
  • Select Export all hours in the When the Proceed with export? window. 
  • To review if the export is accurate, select QuickBooks in QuickBooks Time > View Sync Log.
  • Go to the Time tab to open Time Entries to view the timesheet data in QuickBooks Online.

Note: You can view and manage the time in QuickBooks Online, in the Time tab, before the data is exported. Ensure the data is approved and exported before using it for purposes such as payroll and invoicing. 

Export QuickBooks Time timesheet data to QuickBooks Desktop 

Exporting QuickBooks Time data to QuickBooks Desktop is slightly different from exporting to QuickBooks Online. QuickBooks Online and QuickBooks Time, as a web version, we have to get the data from one software and import it to another.

  • It is not recommended to use the Auto-Run feature in the Web Connector. If you set up the auto-run, set the frequency to 60 minutes or greater.

a. Sync your data 

Items that export to the weekly timesheet in QuickBooks Desktop include: customer, payroll item, service item, class, billable, and notes. Notes can be found in the description field. 

  • Sign in to QuickBooks Time as an admin. 
  • Launch QuickBooks Desktop and the Web Connector on the same computer. 
    • Sign in to QuickBooks Desktop as an admin and use it in single-user mode. 
    • Navigate to File in QB Desktop, then App Management, and select Update Web Services. This will open the QB Web Connector.
  • Choose the suitable company file and click Update Selected.

b. Edit data after sync 

Edit imported customers 

Select Customers in QuickBooks Time:  

  • If you need to add a customer or job inactive from QuickBooks Time, go to Edit> next to your customers, and uncheck the Assign to all team members option.
  • If you want to reactivate a customer you have deleted in QuickBooks Time, add a ‘1‘ to the customer’s name in QuickBooks Desktop, run a sync, and it will reactivate automatically. 
    • Once it’s done, remove ‘1’ from the customer name in QuickBooks Desktop and run another sync to update the changes.

Edit exported time 

  • You can edit time directly in the weekly timesheet in your QuickBooks Desktop, but these updates won’t reflect in QuickBooks Time. 
  • To edit or delete QuickBooks Time timesheets after exporting, unlock the timesheets and perform the same action.
