Account & Billing

  • Click on the Manage Subscription.
  • Select Manage Billing & Subscription in QuickBooks time.
  • Sign in to QuickBooks as a Primary Admin.
  • Click on your profile and choose Billing and Subscription.
  • Click on Edit tab, next to your payment method.
  • Launch Wallet list.
  • You can edit your payment method, including expiration date, billing address, and account holder name.
  • Add new payment details.
  • Now, switch back to QuickBooks Time billing to the previously stored payment method. 
  • Save your changes, and then you can see the payment method on the Billing & Subscription page.  

Note:- There will be a monthly auto-debit to keep your account active.

Ensure you have full admin access to your QuickBooks Time account. 

Payroll & Overtime

Pay Schedule: You are required to set up your company’s payment schedule here. 

  • After you login QuickBooks Time, go to Company Settings.
  • Click on Payroll & Overtime.
  • Select Pay Schedule and click Save

Tracking: You can track your team member using location settings and set geofencing (available only in QuickBooks Time Elite Plan).

  • In QuickBooks Time, go to Time Entries and click on Timesheets.
  • Browse the correct time sheet and click on Display map.

  • If you find that there is more than one timesheet for the particular day in the Map, select the start and end times to move between timesheets. 
  • In the Timesheet Timeline, check the timeline and date stamps
  • You can review any flagged timestamps (when any of your team members were not under a geofence radar). For this, you can set geofencing. 
  • Click on Play to check the playback of the team member’s location.
  • You can select a point and confirm the date and time if it was pulled.

Overtime Settings in QuickBooks Time

  • In QuickBooks Time, click on Company Settings.
  • Choose Payroll & Overtime and click on Overtime.
  • You can select as per your requirements:
    • Calculate employees’ weekly overtime.
    • Daily overtime calculation.
    • Calculate daily double time-tracking.
    • California overtime rules.

Set up Overtime Customizations in Intuit QuickBooks time login

  • After you click on Overtime, select Use Pay Rate Engine.
  • Click on Manage Pay Rates.
  • Select Add Setting and give it a name.
  • Assign your team employee to the setting.

Note:- One team member for each setting. 

  • Click on Default Setting to assign it to all team members.
  • If you want to assign to individual team members, click on No team members assigned and click OK.
  • Click on Add and select the setting that was created in the previous step. 
  • Now, click on Add Rule and enter a Rule Name.
  • Choose a Type like Day, Week, Pay Period, Holiday, or Time of Day

    • Confirm whether the rate is a Fixed rate. For example, base pay x 1.5/hr.
    • Or, a Rate multiplier. For example, base pay x 1.5/hr.
  • Finally, click on Save

Time Off

  • Click on Company Settings.
  • Select Notifications and click on Time Off.

Set up time off codes

  • Click on Feature Add-ons.
  • Select Time Off Codes and click on Add New.
  • Give Time Off Code a name and choose if it is a Paid or an Unpaid Code.
  • Click on Assign to Individuals or Groups to assign the code to team members.
  • After you make the selections, click on Save.

Note:- After assigning the Time Off Code to all the team members, there will be an automatic assignment to the new team members to the code and accrual rules. 

Set up Quickbooks time off codes

Update notifications individually.

  • Click on My Team and choose a team member.
  • Click on Notifications.
  • Select either Web, Mobile, or Email for: 
    • When an individual marks time off (admins).
    • When any team member enters time off (Managers).
    • When time off is approved, edited, denied or cancelled (all).

Step 2: Set up time tracking

Turn ON mobile time entry for all Team Members:

  • Click on Company Settings.
  • Choose Time options and select Time Entry.

Select an option: 

1. If you want to allow the mobile time entry permission:

  • Click on Allow team members to track time on the mobile app.
  • Click on Save.

2. If you want team members to sign in from any location:

  • Click on Allow team members to manage their own timesheets.
  • Click on Save.

  • Click on the Permissions tab and select Mobile time entry.

Step 3: Add your team

Since you have stepped up your account, you can now invite your team. Add your team members and invite them, or you can send invites.

  • Click on Time and select the Overview tab.
  • Click on Go to Classic QuickBooks Time.
  • Navigate to My Team.
  • Click on Add team members > Add manually.
  • Fill in their details and choose a role. 

Note:- As far as the role is concerned, it could be Administrator, Worker, or Payroll Manager. 

  • To send an invitation to the team members
  • Enter their email addresses
  • Or, mobile number.
  • Click on Send an email invitation.
  • Or, send a text message invitation.
  • Click on Add Team Members

Step 4: Manage Time and Run your reports

  • In QuickBooks Time, click on Schedule.
  • Click on Settings in the calendar and select Edit view settings.
  • Make the selections and click on Save.
  • Click on Settings and choose Schedule Preferences.
